Who can use this page: every employee sees their own profile at the top of My Workspace (their landing page) and on the mobile app's Time tab. HR, the Accountant and the organization owner open anyone's profile with the Profile button on the People page's Directory.

What's on the card

  • Who they are: photo, name, employee number, position, branch, start date, sign-in email.
  • Employment: pay basis and base rate, pay group, work schedule, work country, and the statutory contributions and taxes they're enrolled in.
  • Personal details, contact & address, emergency contact.
  • Salary account: bank or e-wallet, account name and number, and the "receive money" QR code if one was added.
  • Government IDs for the work country (for the Philippines: TIN, SSS, PhilHealth, Pag-IBIG).
  • Documents — ID scans, contracts, tax forms — to view and download.

On the employee's own card, account numbers and government IDs are shown masked to the last four characters (••••7890) so they aren't on screen in full; the edit form shows them in full.

Changing your own profile (employees)

You can't change your record directly — every change is a request that HR reviews and an approver approves. That's the same two-person rule the rest of the system uses, and it means no one can quietly redirect a salary payment.

  1. On My Workspace, click Edit profile (on mobile: Request change).
  2. Change what you need: contact details, address, emergency contact, salary account, government ID numbers, civil status and the like. You can also add a new photo, a new salary QR code, and supporting documents (for example the form that proves a new ID number). Your name and job details are greyed out — HR changes those.
  3. Save for later keeps it as a draft; Submit for approval sends it.

While it's waiting, your card shows Changes pending HR approval with what you're changing, and your current details stay as they are. You can Cancel request until HR starts reviewing. If HR sends it back, you'll see their comment on the card — click Edit & resubmit, fix it, and submit again. Once approved, your card updates straight away (and your statutory ID numbers update on your payroll registrations too).

You can only have one change request open at a time.

Approving profile changes (HR and approvers)

Requests appear on People → Profile changes. Open one to see a Current → Requested table of every changed field, any new photo or QR code, new documents and the history. Then:

  • Mark reviewed (HR Manager or Reviewer), then Approve changes (Approver or Accountant) — the same review and approval chain as onboarding, with your authenticator code when your organization requires it.
  • Return for correction with a comment sends it back to the employee as an editable draft.

Reviewers and approvers who don't maintain employee records see account numbers and IDs masked; HR sees them in full. The person who made a request can never review or approve it — not even an HR Manager changing their own profile.

If the record changed in the meantime (say HR corrected the same phone number directly), the request shows a warning and can't be approved — return it so the employee can resubmit against the current details. Nothing gets silently overwritten.

HR editing a profile directly

HR's own edits don't need approval. From the Profile button, Edit details opens the same form (photo, QR and documents included) and saves straight to the record; Job & pay opens the name, position, branch and pay editor. Every change is recorded in the audit log by field, with sensitive values masked.

Everything is encrypted

All employee details — names, contact details, pay, bank details, government IDs — every photo, QR code and document, and every payslip figure (gross, deductions, net, each line, year-to-date totals) are stored encrypted. They're only ever decrypted for someone allowed to see them. Payroll-run totals and the ledger entry stay readable, because they're the organization's accounting records, not one person's pay.
