Accounting software alternatives for small businesses

Updated 2026-10-30  ·  By the BareLedger team

Small businesses usually choose between three kinds of tool: spreadsheets, desktop accounting software and cloud accounting suites. BareLedger is a cloud suite with a free-forever plan that adds the approval controls normally found in larger systems. Below is how the options differ, and when each one is the better choice — including when BareLedger is not.

The short answer

OptionBest forWatch out for
Spreadsheets The very first months, with a handful of transactions No double-entry checks and no audit trail: a typo can unbalance the books without anyone noticing, and nobody can tell who changed what
Desktop accounting software One person keeping the books on one computer Hard to share with a team or an outside accountant; backups, updates and access control are your job
Cloud accounting suites Teams that want access from anywhere and an accountant who can sign in Fees that climb with users and features, and approval workflows often kept for the top tiers
BareLedger Small teams that want approvals, an audit trail, CRM and projects in one place, starting free No bank feeds and no inventory; tax filings are prepared for you to submit yourself

When BareLedger is a good fit

  • Several people touch the books. Every transaction is prepared, reviewed and approved by three different people before it posts, so no one approves their own work — on the Free plan too.
  • You want one system from enquiry to ledger. Leads, quotations, projects, invoices, bills, payroll and reports share the same records instead of being re-keyed between tools.
  • An auditor, a bank or an investor will look at your records. The audit trail is permanent, posted records are corrected by reversal rather than edited, and numbering has no gaps.
  • You trade in more than one currency. Foreign-currency invoices and bills, exchange-rate tracking and period-end revaluation are built in.
  • You operate in one of the 10 countries with a tax compliance pack — the Philippines, Australia, New Zealand, the United States, Canada, Japan, Mexico, the United Arab Emirates, Saudi Arabia or Egypt — and want filings prepared from your books.
  • You would rather not pay until you grow. The Free plan includes every feature; paid plans only raise the limits on users and monthly transactions.

When another tool may suit you better

  • You need transactions to flow in from your bank automatically. BareLedger has no bank feeds; statements are imported from a CSV or file upload and reconciled from there.
  • You sell physical stock and need to track it. There is a products and services catalog, but no inventory or stock valuation.
  • You want software to lodge your returns with the tax authority directly. BareLedger prepares and tracks filings; you submit them through your own channel.
  • You need Gantt charts, timelines or resource planning. Projects are kanban boards with sign-off, not a full project-scheduling tool.
  • You keep the books entirely on your own. Posting needs three different people — one to prepare, one to review, one to approve — and no setting turns that off. A sole trader can make it work by inviting, say, an accountant and a partner as reviewer and approver, but if that is not practical, a single-user tool will suit you better.

What to compare when you choose

  1. Double-entry and an audit trail — does every entry balance, and can you see who changed what?
  2. Approvals and segregation of duties — can you require a second person before something posts, and on which plan?
  3. Local tax compliance — are your country's rates, withholding and forms built in, or added by hand?
  4. Multi-currency — are foreign balances revalued at period end, or left at the original rate?
  5. Roles and access — can an outside accountant or a reviewer see only what they need?
  6. Total cost as you grow — what happens to the price when you add users or volume?
  7. Getting data in and out — exports, an API, and a mobile app for approvals on the go.

Try BareLedger

The quickest way to judge fit is to use it. The Free plan needs no credit card and includes every feature, so you can post real transactions, invite a reviewer and run reports before deciding. Create a free account, read about BareLedger, or browse the guides first.
