Who can use this page: HR Officers and HR Managers work here; the Accountant has the same access; Viewers see the board read-only. Employees clock in from My Workspace or the mobile app. Find it under People → Attendance and People → Timesheets.
How attendance works
Every clock-in and clock-out is a punch — a raw, permanent record of who, when, and from where (web, mobile, a device, or HR's own entry). The system then computes each person's day from their punches and their work schedule: hours worked, late minutes, undertime, overtime. You never edit a day directly — if something's wrong, correct the punch and the day recomputes itself.
The daily board
People → Attendance opens on today: one row per active employee with their status (Present, Absent, Incomplete, Rest day, Leave, or Flagged), first in, last out, and the computed minutes. Leave means an approved request on Leave covers a working day with no punches — an approved absence never shows as absent. Incomplete means an open pair — clocked in, never out. Flagged means a punch arrived suspiciously late (an offline phone syncing days after the fact) and deserves a look.
Correcting a mistake
Punches are never edited or deleted. Open the Punch log tab, find the wrong punch, and record a correction — a new punch with the right time that supersedes the wrong one. Both stay in the log forever, the audit trail says who corrected what and why, and the day recomputes. HR can also Record punch for someone who forgot entirely.
Work schedules
Schedules live under Settings → Attendance: for each weekday, a start, an end, and a break. A day without a shift is a rest day. A shift whose end is earlier than its start (22:00 → 06:00) crosses midnight — the hours count toward the day the shift started. Grace minutes forgive small lateness; rounding trims worked minutes to a block. Mark one schedule as the default; assign others per employee on their record.
The punch policy
Also under Settings → Attendance: which sources may punch (web, mobile, devices, HR manual entry), whether a phone/browser punch must carry the person's location, and how late an offline punch may sync before it's flagged.
Importing punches (CSV / biometric exports)
People → Attendance → Import CSV takes device exports and bulk backfills: one row per punch, with an employee-number column, a date/time column (read in your organization's timezone), and optionally a type column (in/out — without one, rows alternate in→out per employee, the shape of most biometric event streams). Always Dry run first: it previews what would be accepted, skipped as already imported, or rejected (and why), without storing anything. Re-importing the same file later is safe — duplicates are skipped.
For a hands-free version of this, enroll the machine next to your biometric device as a bridge in Settings → Devices: the desktop app watches a folder and uploads new export files on its own.
Timesheets
A timesheet is one employee's hours for one pay period, built from the computed days — it's what payroll will consume.
- Build (HR Officer): pick the employee and period; the sheet lays out each day. Rebuilding a draft refreshes the computed days but keeps your manual adjustments.
- Adjust (optional, drafts only): override a day's minutes with a reason — adjusted days are marked and audited.
- Submit → the sheet locks and the checkers are notified.
- Approve (HR Manager or Accountant — never whoever built it) or Reject with a comment, which returns it to draft.
Common mix-ups
- "I fixed the punch but the timesheet didn't change." Rebuild the draft sheet — approved sheets are frozen on purpose.
- "Someone's day says Flagged but the hours look right." The flag marks how the punch arrived (very late sync), not the hours. Check the punch log, then correct or leave it.
- "The night shift's hours show on the wrong day." They shouldn't: an overnight shift credits the day it started. If an employee's shifts cross midnight, make sure their schedule's end time is earlier than its start time.
