What it's for: configuring the company as a whole — different from User Profile, which is just about your own individual account.

Who can use it: by default, administrators only.

Where to find it: Settings in the side menu (only visible to administrators).

What you can set up here

  • Company profile: legal name, tax ID, country, main currency, and accounting method.
  • Document numbering: the prefix and number format for invoices, bills, journals, and other documents. Note that once a numbering series has issued its first number, its format gets locked in — this keeps the sequence unbroken for audit purposes.
  • Collections: when withholding tax gets recorded (at the time of invoicing, or at the time of collecting payment), and how payment receipts get issued (automatically, manually, or not at all). Once the withholding-tax setting has real activity behind it, it locks and can't be changed.
  • Tax pack: apply the standard tax rates for your country, or reapply them after changing countries — this won't overwrite any tax rates you've customized yourself.
  • Tax registrations: which taxes your company is registered for and how often you file — this determines which official tax forms are available under Compliance.
  • Logo: upload your company logo so it appears on invoices and other documents.
  • Security policy: three separate switches deciding whether people must enter a fresh 6-digit security code before reviewing, approving, or reversing a posted entry (the reversal requirement also covers completing or reopening a bank reconciliation). All three are on for new organizations — see Security (End-User Guide).
  • Approval thresholds: optional amount-based rules per module (journal entries, invoices, bills, expenses, payments) — at or above a threshold, review/approval must be done by holders of the specific roles you name. See Approval Workflow.
  • Attendance (its own page: Settings → Attendance): the punch policy — allowed sources, location/photo requirements, late-sync flagging — and the weekly work schedules (shift times, breaks, grace, rounding) the attendance computation uses. See Attendance & Timesheets.
  • Leave (its own page: Settings → Leave): the leave types — code, name, days per year, paid or unpaid — and per-employee entitlement adjustments for the year (carry-overs, prorated starts). A type with 0 days per year is unlimited. Day-to-day requests and decisions happen on People → Leave. See Leave.
  • Devices (its own page: Settings → Devices): enroll the desktop attendance app on kiosks, personal machines and biometric bridges with one-time codes; watch last-seen telemetry; set per-device IP allowlists; revoke a lost machine instantly. See Attendance & Timesheets.
  • Onboarding form (its own page: Settings → Onboarding Form): the extra questions new employees answer during onboarding — internal codes, extra documents — on top of the built-in sections (personal, contact, emergency contact, salary account with optional QR code, and the work country's government IDs, which are listed on the page). Mark a field sensitive to mask its answer in audit logs and to reviewers who don't maintain employee records. Require a photo blocks submission until the person adds one. Custom fields that duplicate a built-in government ID (for example a hand-made "TIN" field) were switched off automatically in the October 2026 update — the page lists the built-in IDs for your country. See Employees & Onboarding.
  • Workflow reminders: two optional nudges, each set as a number of hours (leave blank to turn it off):
    • Remind reviewers and approvers after N hours pending — covers journal entries, invoices, bills, credit/debit notes, vendor credits, expenses, and payments sitting in Submitted or Reviewed with nobody acting on them.
    • Nudge preparers about drafts after N hours — reminds whoever prepared a record if it was rejected and not yet fixed, or was never submitted in the first place. Each stuck record is reminded once per interval until someone acts on it; whether a reminder also sends an email is each person's own choice under Profile → Notification preferences (see Notifications).

Something worth knowing

The most sensitive changes don't take effect right away: the company profile, branches, and accounting periods (opening, closing, or hard-closing) require a one-time confirmation code emailed to you, and the change only applies once you enter it. Closing or hard-closing a period goes further and needs two people: the code is sent to members holding the Approver role, and both must confirm. Collections, document numbering, the logo, and the tax pack apply immediately without a code. This is a deliberate extra safety step on top of the normal approval process for everyday transactions.

The year-end close (on the Accounting Periods page) doesn't close the year on the spot either: Submit FY … closing entry for review prepares the entry that moves the year's income and expenses into retained earnings and sends it for sign-off. When a reviewer and a different approver approve it in Journal Entries, it posts and every period of that year is locked for good. If anything else gets posted into that year in the meantime, the approval is refused — delete the draft and run the close again. The closing entry can't be edited, only deleted while it's a draft.

Common mix-ups

  • Expecting a company-profile or period change to apply instantly — check your email for the confirmation code first.
  • Trying to change the number format on a series that's already issued numbers — this is blocked on purpose; only brand-new, unused series can have their format changed.
