Logging in

  1. Go to the login page and enter your email and password — or, if your company has turned on a single sign-on provider, click Sign in with Google / Microsoft / Apple. Which buttons appear depends on what your company has configured.
  2. If you've set up two-factor authentication (an extra 6-digit security code on top of your password), you'll be asked for it next — get it from your authenticator app, or use a backup recovery code if you can't get to that app.
  3. Heads up: those 6-digit codes change every 30 seconds and each one only works once. If your code gets rejected, just wait for the app to show you a fresh one and try again.

New to BareLedger? Create an account from the sign-in page — on the web or in the Mobile App — and verify your email with the 6-digit code you're sent. See Login and Authentication.

Choosing a company (organization)

If you're part of more than one company in BareLedger, you'll be asked to pick which one to work in right after logging in. You can also start a brand-new company from this same screen — on the web or in the mobile app — and if you don't belong to any company yet, it's the first thing you'll see. Once you pick one, everything you see and do applies to that company until you switch.

The Dashboard

This is your home screen. It shows a handy list of things waiting for you personally to review or approve across journals, sales, purchases, expenses, and payments — and, if you hold a Reviewer/Approver-type role, a quick snapshot of the company's money position, how big your team is, and a short feed of recent activity. See Dashboard for details.

How transactions get into the books

Every financial record — journal entries, invoices, bills, expenses, payments, payroll runs and so on — goes Create → Review → Approve → Post, and those three steps must be done by three different people: you can't review or approve something you created, and whoever reviewed it can't also approve it. Nothing touches the books until the approval. This means a company needs at least three active team members before anything can be posted, so invite your reviewer and approver early (the Free plan includes 5 seats). See Approval Workflow.

Finding your way around

The menu on the side only shows the pages you're actually allowed to use — so if something you expected isn't there, it usually just means your role doesn't include it, not that anything is broken. If you click into something and get an "access denied" or a "not found" message, double check you're in the right company (see "Choosing a company" above).

Your security settings

From your profile page you can update your name, phone number, and job title, change your password, turn on or off the extra 6-digit security code, get fresh backup codes, create API keys for integrations, see which devices are currently signed in, and check your recent sign-in history.
