# Mobile App

> Sign up and set up your organization on your phone, approve on the go, record expenses, read these guides, and know what stays on the web.

The BareLedger mobile app (for iPhone and Android) gives you a smaller, focused slice of what the full web app can do: create your account and organization, approve, record expenses, scan supplier documents, work your leads and project boards, clock in, and read these guides.

## Creating an account on your phone

1. On the sign-in screen, tap **Create an account**.
2. Enter your full name, your work email and a password — at least 10 characters, with upper- and lower-case letters and a number — then type the password again. Tick the box to agree to the Terms of Service and Privacy Policy (tap either name to read it first).
3. Tap **Create account**. A 6-digit code is emailed to you: enter it and tap **Verify & sign in**. The app signs you in straight away — no need to type your password again.
4. You land on **Choose an organization**. An organization you've been added to is listed there; otherwise tap **Create a new organization**.

The organization form asks for the same details as the web: business details, your tax identification and company registration numbers, address and contact (pick your city from the list, or type it if it isn't there), currency, accounting method, fiscal year start and timezone. You can also customize the numbering of invoices, receipts and other documents before the first one is issued, or leave the defaults. A new organization starts on the Free plan.

**Invited by email?** Don't create a new account — open the invitation email, set your password from its link, then sign in to the app.

## Signing in

Sign in with your email and password, plus your 6-digit code if you've turned on two-factor authentication. If a single sign-on provider has been turned on, a button such as **Sign in with Google** appears: the app opens the provider in a secure browser sheet and brings you straight back. A first sign-in through a provider still confirms your email with a 6-digit code, exactly as on the web — see [Login and Authentication](https://bareledger.app/guides/login-authentication).

**Forgot password?** on the sign-in screen emails you a link to reset it. Open the link on your phone or any computer, choose a new password in the browser, then sign in to the app with it.

If you belong to more than one organization, a picker lets you choose which one to work in, same as on the web.

## The tabs

Which tabs you see depends on your role:

- **Home** — a mobile-friendly dashboard: stat cards for your team size and how many items are pending review, pending approval, or rejected across modules, plus a recent-activity list. If you have access to any recurring schedules, a **Recurring** tile also appears here — see below.
- **Time** — clocking in and out, your attendance, payslips and leave (see "The Time tab" below).
- **Expenses** — record a new expense (category, description, amount) and see your list of past ones. This is a manual entry form; it doesn't attach receipts. Once an expense is posted, you can open it and tap **Make recurring** to set up a schedule, exactly as on the web — see [Recurring Transactions](https://bareledger.app/guides/recurring).
- **Inbox** — tap **Scan with camera**, **Photos** or **PDF / file** to add supplier invoices to the [Supplier Inbox](https://bareledger.app/guides/supplier-inbox). Turning a document into a bill happens on the web.
- **Leads** — your leads, with **Call** and **Email** buttons, the next action, activity logging, and moving a lead along its stages (won and lost go for sign-off). See [CRM: Leads & Follow-ups](https://bareledger.app/guides/crm).
- **Projects** — My tasks, the project list and each board; see [Projects & Boards](https://bareledger.app/guides/projects).
- **Approvals** — journal entries waiting for your review or approval, with **Review**, **Approve & post** and **Reject** (comment required), plus the 6-digit security code if your company requires it. Sign-off requests for customer-credit settlements, project decisions and lead outcomes are here too. Invoices, bills, expenses and payments are reviewed and approved on the web.
- **Alerts** — your notification inbox, covering the same categories as the web app (Approvals, Reminders, Recurring transactions, Invoices, Security, Subscription, System), with a **Mark all read** button and an unread badge on the tab icon.
- **Profile** — your account details and two-factor status, **Notification preferences** (per-category email/push toggles), **Push on this device** (with an **Enable push notifications** button so BareLedger can alert you even when the app is closed), **Help & guides**, **Support** (your support tickets), **About** (the app version), **Sign out**, and **Delete account**.

Employee-only sign-ins see just Time, Alerts and Profile. At the top of Home, the **?** button opens the guides, and the sparkle button opens [Ask BareLedger (AI Assistant)](https://bareledger.app/guides/assistant) when your organization has it.

## The Time tab (employees)

People with the Employee role see a **Time** tab: clock in/out, today's punches, this month's attendance, your payslips (period and net pay — download the PDF from My Workspace on the web), and your leave: balances for the year, filing a request, and withdrawing one while it's still pending. Clock-ins work offline — the punch is saved on the phone and syncs when the connection returns (you'll see "waiting to sync" until it does). If your organization requires location, the app asks for permission the first time.

## Help & guides in the app

These same guides open inside the app — from **Help & guides** under the sign-in and sign-up forms, the **?** button at the top of Home, or the **Help & guides** card on Profile. Tap through topics and articles as you would on the web: the arrow at the top goes back a page (so does Android's back button) and the ✕ closes the guides. When Ask BareLedger cites a guide, tapping the source opens it at the cited section. Reading the guides needs an internet connection.

## Recurring Transactions on mobile

There's no dedicated Recurring tab — you reach it from the **Recurring** tile on the Home dashboard, or by tapping a "recurring" notification in Alerts. From there you can see every schedule you have access to (invoices, bills, journal entries, and expenses), and **Pause** or **Resume** each one, plus view its run history. Creating a brand-new schedule and editing its frequency/dates still happens on the web app; mobile is for keeping an eye on schedules and reacting to them.

## People in the app

Administrators and HR find the team under **More › People**, with the same **Directory**, **Onboardings** and **Changes** tabs as the web. Tap **Add person** to invite a team member, invite an employee or add an employee manually. Open someone to tick their roles, customize access, resend an invite, suspend or reactivate them. Every active sign-in counts as a user on your plan, so inviting is blocked at your plan's limit. See [People](https://bareledger.app/guides/team).

## The app version

The app's version (for example **v1.0.0**) is shown at the bottom of the sign-in screen and under **Profile → About**. Mention it when you contact support.

## Deleting your account

Tap **Profile → Delete account**, or **Delete my account** on the organization chooser if you don't belong to any organization. See [Delete Your Account](https://bareledger.app/guides/delete-account) for what is deleted, what is kept, and when you need to hand an organization over first.

## What you won't find on mobile

Invoicing and quotations, turning supplier documents into bills, bank reconciliation, running reports, compliance/tax filing, managing billing, organization settings, and creating or editing a recurring schedule are all **web-only** for now. For those tasks, switch over to the web app.

## Common mix-ups

- Looking for a way to approve invoices or bills from your phone — on mobile, Approvals covers journal entries plus customer-credit, project and lead sign-offs. Use the web app for invoice and bill approvals.
- Expecting the password-reset link to open the app — the new password is set in the browser; sign in to the app afterwards.
- Creating an organization and finding nothing can be posted yet — every transaction needs three different people (one prepares, one reviews, one approves). Invite your reviewer and approver from **More › People** in the app, or **People** on the web.
- Expecting to create a new recurring schedule from mobile — you can only pause, resume, and monitor an existing one there; set new ones up on the web.
