# Ask BareLedger (AI Assistant)

> Beta: plain-language answers from these guides, and explanations of the report on your screen — it never changes your books.

> **Beta.** Ask BareLedger is new and still being tuned. Answers can be wrong or incomplete — check anything that matters against the guide sections it links to, and tell us through the Support page when it gets something wrong.

Ask BareLedger is the sparkle button in the bottom-right corner of every page once you are signed in to an organization. It answers questions about how to use the app, in plain language, and it can explain a report you have just generated. It reads from these guides, so its answers come with links to the pages they are based on.

## What it can do

- **Answer how-to questions.** "How do I record a supplier bill?", "Who can approve an expense?", "Where do I change the fiscal year?" It answers from the guides and shows numbered links to the exact sections it used, so you can read further or check it.
- **Explain the report on your screen.** On the Reports page, generate any report, then open the assistant: a chip such as *Analyzing: Trial balance* shows that the report is attached. Ask "does this balance?", "which accounts are largest?" or "what changed?" and it answers from the figures shown. Switch the chip off to ask a general question instead.
- **Remember the conversation.** Each conversation keeps its earlier turns, so follow-up questions work. Your recent conversations are listed under *History*; they are yours alone — nobody else in the organization can open them.

## What it never does

- **It never changes your books.** It cannot create, edit, submit, approve, post or delete anything. When you ask it to do something, it explains how you can do it yourself.
- **It is not an accountant.** For judgement calls — which account to use, how to treat tax, what a regulator expects — it lays out the options and tells you to confirm with your accountant.
- **It does not know what it was not shown.** It only sees the guides, the report you attached, and the organization basics (country, currency, your role). If the guides do not cover something, it says so and points you to the Support page (open a ticket) rather than guessing.

## Step 1: Ask a question

Press the sparkle button (or open it from any page), type your question and press Enter. Shift+Enter adds a line. The answer streams in as it is written; press *Stop* to cut it short.

## Step 2: Check the sources

Under each answer, chips like **[1] Purchases — Record a supplier bill** link to the guide sections the answer relied on. If an answer cites nothing, treat it with more caution.

## Step 3: Attach a report (optional)

Go to Reports, choose a report and press *Generate*. Open the assistant and confirm the *Analyzing* chip names that report. The assistant re-reads the report from your books when you ask, so it always analyzes the current figures — and only if your role can view reports (see [Roles & Permissions](https://bareledger.app/guides/roles-permissions)). Very long reports are shortened before they reach the assistant; it will tell you when rows were left out.

## Limits and availability

- **No plan limit.** The assistant is unlimited on every plan, Free included (see [Subscription & Billing (End-User Guide)](https://bareledger.app/guides/billing)) — there is no monthly message allowance to run out of.
- **No daily limits.** You can ask as many questions as you like. While the assistant is in beta it runs on a single machine, so it answers one question at a time per person and asks you to wait a moment if questions arrive very quickly; the panel says so and offers **Retry**.
- **Online / Offline.** The panel's header shows **Online** when the AI server is answering. If the server stops answering — or becomes too slow to answer well — Ask BareLedger switches itself **Offline** and its button disappears; it comes back by itself once the server is quick again (after a slowdown it waits about five minutes first).
- **Busy or offline.** A few people can talk to the assistant at the same time; beyond that you are asked to try again in a moment. If the AI server stops responding, the assistant switches itself off and its button disappears; it comes back on its own within a few minutes of the server answering again. The rest of BareLedger keeps working as normal.
- **Who can use it.** Every built-in role can. An administrator can switch it off for a role or a person with **Customize access** on the People page (*AI Assistant: No access*).

## Privacy

Your question, the recent turns of the conversation and — only if you attached one — the report you generated are sent to an AI model that Syneria operates on its own infrastructure. They are not used to train models. Conversations are kept for 90 days and then deleted. The audit trail records that a question was asked and which guide sections were used, never the text of the question or the answer.
